How long does a bulk matcha order take?
At One with Tea, a made-to-order or private label run takes 4 to 6 weeks from deposit (and artwork approval, for private label) to shipment ready. Transit is on top of that and is quoted separately, so build both into your opening date.
Here is what happens inside those weeks:
- Deposit. 50% of the order reserves your quantity.
- Artwork approval (private label only). You send print-ready files for the front and back labels. The production clock needs both the deposit and the approval.
- Sourcing and quality check. We source and reserve the matcha, then check color, particle fineness and taste before anything is packed.
- Packing and labeling. The matcha goes into pouches, and your labels are applied front and back on a private label run.
- Shipment ready. The balance is due before shipment, and the export documents (packing list and commercial invoice) are issued.

Whoever you buy from, me included, get these eight answers in writing before you pay a deposit.

- Grade and how it was milled. The Global Japanese Tea Association describes ceremonial matcha as slowly ground by stone mills and culinary matcha as made more industrially with factory grinding machines (GJTA, Japanese tea kinds). Ask how your lot was milled, not only what the label says.
- Certification, grade by grade. Ask for the documents, not a badge on a website.
- Payment terms. What does the deposit reserve, and when is the balance due?
- Lead time and what starts the clock. "Four weeks" means different things from the order date, the deposit date or the artwork approval date.
- Quote validity. Matcha prices move, so ask how long the number holds.
- Importer of record and exclusions. Who pays duty, who clears customs, and what isn't included.
- Shelf life from the packing date. Our quotes state 2 years from packing, unopened and stored cool and dry.
Then taste before you commit. Ask for a sample of the grade you'll actually buy and whisk it with water alone, no milk and no sweetener. - USDA Organic. Our organic ceremonial and latte grades are imported under USDA Organic, with QCS as the certifier. Not every grade in our range carries it, so confirm certification grade by grade in your quote.

- NOP Import Certificate. Since March 19, 2024, each shipment of organic agricultural products imported into the United States must be associated with an NOP Import Certificate issued by an accredited certifying agent in the USDA's Organic INTEGRITY Database (USDA AMS).
